Returns and Refunds Policy

  1. Purpose of This Policy

This policy sets out the terms and conditions under which MACS Automotive Air Conditioning (MACS Automotive / MACS Auto) accepts returns and processes refunds or credits. The intent is to ensure fairness to customers while protecting product integrity, traceability, and compliance with manufacturer and industry requirements / standards.

  1. Scope

This policy applies to all customers, including:

  • Trade account holders – Both, Payment Terms and COD.
  • Cash and COD customers.
  • Workshop, Commercial Off Highway / Off Highway, Distributors and Others.

It applies to all product categories supplied by MACS Automotive, unless otherwise stated.

  1. General Return Conditions

All returns are subject to the following conditions:

  • Prior approval is required before any goods are returned.
  • Proof of purchase (invoice or delivery note) must be provided.
  • Goods must be returned within 7 days of invoice date unless otherwise agreed in writing.
  • Goods must be in original, unopened, unused, complete and resalable condition, including original packaging, labels and seals (untarnished).
  • Short / over supply must be reported within 2 working days of delivery. We cannot accept responsibility for shortages not reported withing 2 working days of delivery.

MACS Automotive reserves the right to reject returns that do not meet these conditions and will be returned to sender at the sender’s cost.

  1. Non‑Returnable Items

The following items are strictly non‑returnable:

  • Electrical components once fitted or powered (e.g. control units, sensors, switches).
  • Components that have been installed / fitted.
  • Oils, chemicals, dyes, sealants and consumables if not resaleable.
  • Special‑order, indent or buy‑out items.
  • Tools and equipment showing signs of use or installation.
  • Clearance or discontinued stock.
  1. Incorrectly Supplied Goods

Where MACS Automotive has supplied goods incorrectly:

  • The issue must be reported within 24 hours of receipt.
  • Goods must be returned unused and in original condition.
  • Upon verification (Info supplied by customer was accurate), MACS Automotive will:
    • Replace the goods, or
    • Issue a full credit or refund, at our discretion.

Return freight costs will be covered by MACS Automotive in confirmed cases of supply error.

  1. Customer Ordering Errors

Where goods are ordered incorrectly by the customer:

  • Returns are subject to approval.
  • A handling fee of 20% may apply.
  • Original delivery and return transport costs remain the customer’s responsibility.
  • Credit will be issued only after inspection and acceptance of the returned goods.
  1. Warranty Returns (Defective Goods)

Warranty claims are handled in accordance with manufacturer warranty terms.

  • All warranty returns require prior authorisation.
  • All warranty returns are subject to inspection / testing on arrival (post authorisation of return)
  • No refunds or credits will be issued before warranty evaluation is completed.
  • Warranty Report will be actioned and communicated to sender where a technical report is required.
  • Warranty does not cover failures due to:
    • Incorrect installation
    • Contaminated systems
    • Incorrect oil or refrigerant
    • Lack of flushing or system preparation
    • Electrical faults external to the component

  1. Refunds and Credits
  • Approved returns will normally be processed as a credit note to the customer’s account.
  • Cash, Card, EFT refunds will only be processed where legally required or at management discretion.
  • Refunds will be processed using the original payment method where applicable.
  • Processing time may take up to 7 business / working days from acceptance of returned goods and appropriated documentation has been completed.
  1. Risk and Responsibility
  • Returned goods remain the customer’s responsibility until received and accepted by MACS Automotive.
  • Customers are responsible for ensuring returned goods are properly packaged to prevent damage.
  • Used Equipment (Owned by Customer / Sender) transported or stored by MACS Automotive, MACS Automotive do not accept any liability, and associated risks remain with the owner / sender.
  • Damaged or incomplete returns may be rejected or credited at a reduced value.
  1. Consumer Protection Act (CPA)

Nothing in this policy limits a customer’s rights under the South African Consumer Protection Act (CPA) where applicable. CPA‑related claims will be handled in accordance with statutory requirements.

  1. Policy Review and Amendments

MACS Automotive reserves the right to amend this policy at any time without prior notice. The latest version will apply at the time of return request.
